Author Registration Requirements
- Conference papers (main track, industry track, demos): At least one author of each accepted paper must register for the COLING 2025 Main Conference at the in-person fee rate by the early registration deadline, even if the paper is presented in the virtual part of the conference. Failure to register will result in the paper being excluded from the COLING 2025 Proceedings. The registration can be at the full or at the student rate. Each registration can cover up to 2 papers.
- Workshop papers: At least one author of each paper at a workshop must register either for the full conference or for the workshop day(s) only. Workshop shared task papers do not need an author to register.
Author Registration Deadlines
To assist the program chairs and the committee with publishing the conference details for the program and the Anthology, we ask all authors to register no later than December 23, 2024.
Cancelation Policy
Participants who register within the early bird deadline are entitled to registration fee refunds for valid reasons, substantiated with documentation (e.g., visa delays, medical conditions). Cancellation must be notified to the Conference Registrar at colinginfo@yesevents.com. All refunds will be made after the conference. Refunds will be made to the same bank account or credit card as the original payment.
For any other extenuating circumstances with respect to registration, please write to the local chairs at coling2025-local-chairs@googlegroups.com with the subject “COLING 2025 Registration Extenuating Circumstances Request”. These may include single authors who have multiple papers, participants with financial, medical, or other challenges. These will be reviewed on a case-by-case basis.
Please refer to the following dates for cancellation:
- Cancellation by December 23, 2024: Full refund less bank or credit card expenses and a $50 processing fee.
- Cancellation from December 24 - January 3rd will have a $200 Cancellation fee.
- Cancellation after January 4, 2024: No refund.
Cancellation means that the final paper could be withdrawn from COLING 2025 Proceedings if no author has finally registered to the Main Conference.
Please remember that cancelling your registration does not automatically cancel your hotel and travel arrangements. Each participant is responsible for cancelling their own hotel and travel reservations.
DIVERSITY, INCLUSION AND ANTI-HARASSMENT POLICY
Diversity & Inclusion, both in terms of approaches and participation, are an integral part of who COLING is as a community. To find out more about the unique history of the COLING series of conferences, CLICK HERE
COLING’2025 is dedicated to providing a respectful, harassment-free environment for everyone. We do not tolerate harassment or bullying of any community member in any form. This does not only extend to attendees, but to anyone who chooses to become involved in the larger COLING 2022 community of organizers, volunteers and participants through events or interactions.
Harassment includes offensive verbal/electronic comments related to personal characteristics or choices, sexual images or comments in public or online spaces, deliberate intimidation, bullying, stalking, following, harassing photography or recording, sustained disruption of talks, IRC chats, electronic meetings, physical meetings or other events, inappropriate physical contact, or unwelcome sexual attention. Participants asked to stop any harassing or bullying behavior are expected to comply immediately.
If a participant engages in harassing behavior, representatives of COLING’2025 may take reasonable action they deem appropriate, including warning the offender, expulsion from mailing lists, discussion boards and other electronic communications channels or expulsion from the event to resolve the issue.
If you are being harassed, notice that someone else is being harassed, or have any other concerns, please act to intercede or ask for help from any member of Local Organization Committee. Please be assured that your concerns will be kept in strict confidence, and we will consult with you on any actions taken.
